Who we are

Vadderik is an event and meeting venue at Veemarkt 5, 2800 Mechelen, Belgium, operated by Gybels & Partners bv, company number BE 0429 192 039. For anything related to this policy, contact us at vadderik@vadderik.be.

What we collect

Right now, the only personal data we collect is what you give us through our inquiry form when you request a quote or ask about booking the space:

• Name

• Company

• Email and/or phone number

• Event type, expected number of guests, and preferred date(s)

• Anything else you tell us in the message field‍ ‍

We don't collect payment details, and we don't buy or sell personal data.

Why we use it

‍We use this information to respond to your inquiry, check availability, and put together a quote, nothing else. The legal basis is our legitimate interest in responding to your request, and to take steps towards a contract at your request (GDPR Art. 6(1)(b) and (f)).‍ ‍

Who sees it

‍Your inquiry is handled by the Vadderik team members responsible for bookings. It's stored via Squarespace's form storage and forwarded to vadderik@vadderik.be. We don't share it with anyone outside of that.

How long we keep it

‍We keep inquiry details for as long as needed to handle your request, and up to 2 years after in case you get back in touch. If your inquiry turns into a booking, we may need to keep relevant details longer for accounting/legal reasons.

Photos taken at events

Vadderik is a private venue for hired events, but we may take photos during events hosted here. For example to show what Vadderik looks like in use, on our website or social media.

If you're attending or organizing an event at Vadderik and would rather not appear in any photos, just let your Vadderik Manager know on the day, or get in touch beforehand at vadderik@vadderik.be. We'll leave you out of any photos we take or use.

Event organizers: please pass this along to your attendees ahead of time, so anyone who'd rather not be photographed can let us know in advance rather than on the day.

The legal basis for this is our legitimate interest in showing what Vadderik is like as a venue (GDPR Art. 6(1)(f)), balanced against your right to opt out, which we keep as simple as telling us.

We only use event photos for Vadderik's own promotion; we don't sell or share them with third parties, and we won't knowingly publish a recognizable photo of anyone who's asked not to appear.

Your rights

‍Under GDPR, you can ask us to access, correct, delete, or restrict the personal data we hold about you, or object to how we use it. To do so, email vadderik@vadderik.be.

If you're not happy with how we've handled your data, you can also file a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données) at www.gegevensbeschermingsautoriteit.be.
